How to plan and manage projects and view tasks and milestones efficiently with Tuqqi

Gantt enables dynamic project management by following predefined schedules and overseeing long-term processes. It visualizes task dependencies and key milestones, helping the process manager stay updated and collaborate efficiently with the team to achieve goals.

Creating and Managing a Gantt group

  1. Create a new group and select Gantt as the default view.

  2. Select the other group settings.

  3. Define the task group for your project by clicking the three dots next to the project or group name, then select "Add New Task Group."

  1. Define the group statuses. You can do it from the Kanban board.

Working in a Gantt group

Create tasks

Create the tasks within the group that applies. Click on the three dots next to the task group name and select "Add new task".

Choose the data type, fill in the fields, select the start and end date and the status of this task.

Group of tasks

Task groups can represent project phases, organizing items within the project. You can view and manage them in Gantt, as well as in full view, table view, calendar, and scheduler.

A default task group called "Unassigned Group of Tasks" will always appear at the top of the list, with new items automatically assigned to it. You can move tasks between groups by simply dragging and dropping them in the Gantt view.

Dependencies

Define task dependencies in the Gantt chart by connecting the end of the predecessor task to the start of the successor task.

In the full view of the item, both predecessor and successor tasks will also be shown.

Milestones

A milestone represents specific points in your project cycle used to track progress and ensure you're on the right path. Milestones are marked as diamonds on the Gantt chart to highlight significant activities. Any item with a duration of 0 (where the start and end date are the same) is displayed as a diamond, signifying it as a milestone.

Move items between statuses

On the left side, in the table section, you can find the task status. You can manage the status by clicking on it, which opens a modal to move the item. The bar in the Gantt chart is color-coded based on the task's status.

Start & End date

To define the start and end date of the task from the Gantt view there are two ways:

  • From the table side on the left: select the start and end date and set the corresponding values.

  • From the chart side on the right: drag & drop the extremes of the bar and update the start and end date of the item.

Important Note: If any item in the group lacks a start or end date, it will not be displayed in the Gantt view.

Assignees

In the left side, the table section, you can find the assignees column. You can manage it by clicking and opening the modal to assign the item.

Progress

There are three levels of progress: task progress, group of tasks progress, and project progress.

  1. Task Progress: You can set the completion percentage of a task (between 0% and 100%) in the Gantt view's table section (left side), as well as in the table view and full item view. Once set, the task bar opacity will update accordingly.

  2. Group of Tasks Progress: This is automatically calculated based on the progress of individual tasks within the group.

  3. Project Progress: The overall project progress is automatically updated based on the progress of the task groups.

Apply filters

On the top bar you can apply filters on your results.

  • Filter by members

  • Filter by data type

  • Filter by status color

  • Filter by status

  • Filter by group of tasks

  • Filter by linked item

Saved Reports

You can create and save reports with custom parameters, filters, and task group expansions, allowing for easy access to your preferred data view.

To create a saved report:

  1. Arrange the table to your preference.

  2. Click the "New Report" button in the top-right corner (next to the "New" button).

  3. Define a title and description for the report.

  4. Click "Save".

The report will be saved and appear in the list of reports at the top right of the screen.

Editing: When you open a saved report, you can modify how the data is displayed. Click "Save Changes to Report" to update the view.

Deleting: Deleting a saved report removes the custom display of the data, but the items themselves remain unaffected.

Sharing: Group admins can share saved reports, making the configured layout visible to all group members.

Export to a file

Click on the download icon in the top right and choose the desired option.

  • Excel: The left side of the Gantt view will be exported to a spreadsheet. All task groups will be automatically expanded in the export.
