How to plan and manage projects and view tasks and milestones efficiently with Tuqqi

Working with Gantt allows you to admin a project on predefined schedules dynamically, and to manage long-term processes in one place. The Gantt chart shows dependencies between tasks and presents the key milestones of the project. The connection between tasks and the distribution of responsibilities among team members allow the process manager to be up-to-date and work cooperatively with the target to achieve the defined goals.

Creating and Managing a Gantt group

  1. Create a new group and select Gantt as the default view.

  2. Select the other group settings. You can read more about this topic in this article

  3. Define the group of tasks that the project will have. Click on the three dots next to the project or group name, and select "Add new task group".

  4. Define the group statuses. You can do it from the Kanban board. Learn more here.

Working in a Gantt group

Create tasks

Create the tasks within the group that applies. Click on the three dots next to the task group name and select "Add new task".

Choose the data type, fill in the fields, select the start and end date and the status of this task.

Group of tasks

The group of tasks could be the phase of the project. They will group the items inside the project. You can view and manage them from Gantt, but also in the full view, in the table view, calendar and scheduler.

There will always exist a default group of tasks on the top of the list named "Unassigned group of tasks". The new items will be by automatically assigned there.

You can move the items between group of tasks from the Gantt view by dragging and dropping.

Dependencies

Define the dependencies of this task from the Gantt chart by joining the end of the predeccessor to the start of the successor.

In the full view of the item, both predecessor and successor tasks will also be shown.

Milestones

A milestone is a specific points in line with your project cycle used to monitor project process and follow the right path. The way to be used to mark any significant activities in your project in the shape of a diamond

Every item that has duration 0, which means the start date and end date in the exact same moment, are shown as diamonds on the chart and they are milestones.

Move items between statuses

In the left side, the table section, you can find the status of the task. You can manage it by clicking and opening the modal to move the item. The bar in the chart is colored based on the status color.

Start & End date

To define the start and end date of the task from the Gantt view there are two ways:

  • From the table side on the left: select the start and end date and set the corresponding values.

  • From the chart side on the right: drag & drop the extremes of the bar and update the start and end date of the item.

An important note: If there is any item in the group that has no value in the start and end date, it will be not be shown in the Gantt view.

Assignees

In the left side, the table section, you can find the assignees column. You can manage it by clicking and opening the modal to assign the item.

Progress

There is task progress, group of tasks progress and the project progress.

In the first case, you can set any value that reflects the percentage of completition of the task between 0% and 100%. You can do it from the table section (left side) in the Gantt view. But also in the table view and in the full view of the item.

When the value is set, the bar opacity will be updated.

Based on the tasks progress value, it will be automatically calculated the group of tasks progress. And based on the group of tasks value, it will be automatically updated the project progress.

Apply filters

On the top bar you can apply filters on your results.

  • Filter by members

  • Filter by data type

  • Filter by status color

  • Filter by status

  • Filter by group of tasks

  • Filter by linked item

Saved Reports

You can create a saved report with different parameters, filters, group of tasks expand.

This option allows you to easily access to your prefered data view.

  1. Arrange the table as you prefer

  2. Click the "New Report" button in the top right of the screen (next to the "New" button).

  3. Define a title and description for the report.

  4. Click "Save."

Now your report is saved and will appear in the list of reports at the top right of the screen.

  • Editing - When you open the report, you can make changes to how the data is displayed. Click "Save Changes to Report" to preserve the latest view.

  • Deleting - When you delete a saved report, what is deleted is how the data is shown in the table. The items will not be deleted.

  • Sharing - The group admins can share a saved report, so everybody in the group will see the layout that was configured.

Export to a file

Click on the top right download icon and chose the best option

  • Excel: the left side of the Gantt view will be exported to the sheet. All the group of tasks will be automatically expanded.
