Automations Page in Groups

Automations help you save time and reduce repetitive work by letting Tuqqi take actions automatically when certain conditions are met.

Groups in Tuqqi are centralized, flexible workspaces that organize teams, tasks, and information to make collaboration easy and effective. To learn more click here.

On the Automations page, you can create, manage, and monitor all automations for each group.

👉 You can access this page if you are a Group Admin. Look for the robot icon in the left menu of your group.

How Automations Work

Every automation is made up of three elements:

  1. Profile → Name and description of the automation.

  2. Condition → The event that triggers the automation.

  3. Action → What Tuqqi will do automatically.

Items in Tuqqi help employees track tasks at any stage - new, active, completed, or in progress - and include features that make the platform flexible for any work environment.

Conditions

A condition is what starts the automation.

  • Example: “When an item is moved to To Approve status.”

Currently, the only condition available is “When an item reaches a specific status”. More condition options are coming soon.

Statuses show the current stage of an item in a process - whether it’s just starting, in progress, waiting for review, or completed. To learn more click here.

Actions

An action is what happens automatically when the condition is met.

  • Example: “Assign to user”, “Set labels”, “Send an email”.

Creating a New Automation

  1. Open the Automations page inside the group where you want it to run.

  2. Click + New Automation.

  3. Set the Automation Name and Description.

  4. Choose a Condition (what event starts the automation).

  5. Add the Action (what should happen automatically).

  6. Click Save.

💡 Tip: You can create multiple automations with the same condition, as long as their actions don’t conflict.

Types of Actions

Here are the actions you can set up today:

  • Insert a checklist in the item: Define the checklist name and tasks that will be added automatically when the condition is met.

  • Manage item assignees: Add, remove, or set members as assignees.
    Example: “When an invoice changes to To Pay status, assign it to the responsible person or team.”
    (Note: users must be members of the group.)

  • Manage item watchers: Add, remove, or set watchers to keep people informed.
    Example: “When a development task changes to Hot Fix, add the development lead as a watcher.”
    (Note: users must be members of the group.)

  • Manage item labels: Add, remove, or set labels on items (both group and organization labels).

Labels are customizable tags that you can attach to posts, tasks, or any item in Tuqqi. They help you organize information by category, topic, priority, or department. To learn more about labels click here.

  • Request item confirmation: Automatically assign someone to read and confirm an item.
    (Note: this person must be a member of the group.)

  • Send to an integration service: Send the item to an external service when the condition is met.
    (Contact Tuqqi Support to set this up.)

  • Send an email: Use this as a notification for Tuqqi users or external contacts. You can:

    • Enter one or multiple email addresses (separate with commas).

    • Define the subject line.

    • Write the email content.

      • Insert dynamic values from the item (currently: title, ID, and form).

Editing or Deleting Automations

  • Any future items will follow the updated rules.

  • Past items or previously executed automations are not affected.

Frequently Asked Questions

Q: Is there a limit to the number of automations?

No — you can create as many as you need in a group.

Q: I want the same action to happen under two different conditions. How do I do it?

Create two separate automations with different conditions but the same action. (At the moment, duplicating automations is not available.)

Q: I want more than one action to happen under the same condition. How do I do it?

You can create multiple automations with the same condition. Just make sure the actions don’t conflict (e.g., one adds a label and another removes it).
