With this feature, you can upload many in just few clicks into a group using an Excel or CSV file. It’s designed for bulk data entry - perfect for onboarding large sets of information that you can immediately manage in Tuqqi.

What You Need Before You Start

Make sure you meet the following requirements:

  • You are an administrator in the group.

  • You have a .xlsx or .csv file with a header row.

  • The form you want to use is already created and allowed to be published in the group.

A form in Tuqqi defines the structure of your item: which fields it contains, the types of those fields, and any required values. Learn more about forms here.

How to Import Items in Bulk

  1. Open the Group Menu: Expand the left-side panel in your group and click the three dots (⋮) menu.

  2. Click “Import data”: A modal will open with four steps to complete the import process.

Step 1: Upload

Upload your spreadsheet (.xlsx or .csv).

Files must be under 20MB and include a header row.

Step 2: Match

  • Select the form you want to use. The options will be those that are allowed to be created in the group.

  • Match each column from your file with the fields from your form.

    You can use the search bar to locate columns and field names quickly.

    Only editable fields can be mapped. Fields like “Created Date” or calculated fields are not available.

Supported field types include:

  • Custom fields: Short Text (one line text), Long Text (paragraph), Date, Date & Time, Single Select, Multi Select, Email, Phone.

  • Default fields: Title, Status, Label, Start Date, End Date, Due Date, Assignee

Step 3: Review

Tuqqi will automatically check your data and highlight:

  • Errors: issues that prevent item creation (e.g. text in a date field)

  • Warnings: issues that won’t block creation but might need attention (e.g. a label that doesn’t exist)

You can:

  • Fix issues inline

  • Show/hide columns to simplify your view

Step 4: Complete

Click Create. If errors or warnings still exist, you’ll be asked how to handle them:

  • Skip rows with errors

  • Create missing values (statuses, labels, options – up to 10 of each)

  • Leave unmatched fields blank or use default values

Once confirmed, click Import. You can close the modal and keep working - Tuqqi will notify you via banner and email when the import is complete.

After Importing

All imported items are fully editable and behave exactly like manually created items. You can start working with them immediately in your group.

FAQ

  • How many rows can my file include?

    Up to 101 rows, including the header.

  • What happens if a required field is blank in my file?

    You can complete it during the Review step. If left blank, the item will be created as a draft (with limitations, learn more about draft items in this article).

  • What if the assignee in my file is not a member of the group?

    They will not be assigned. To assign them, you must add them to the group before the import.

  • What if I don’t include a status in my file?

    The item will be placed in the first status in your group (leftmost in your Kanban).

  • Can I go back to Match after I’ve reached Review?

    Yes - but any edits you’ve made in the Review step will be lost.

How Tuqqi Handles Common Issues During Import

  • My file includes a status that doesn’t exist in Tuqqi

    You can choose to:

    • Create the missing status (up to 10)

    • Assign the item to the first status in the group instead

  • My file includes a label that doesn’t exist

    You can:

    • Create the label (up to 10 new labels per import)

    • Leave the label unassigned

  • My file has a value in a select/multiselect field that doesn’t exist

    You can:

    • Add the new option to the field (up to 10 per field)

    • Skip the value and leave the field blank

  • My file has an End Date before the Start Date

    You can:

    • Correct it in Review

    • Leave it, and the End Date will be empty
